BASE Foundation is the data controller for all personal data collected through this website. MASE (Italy’s Ministry of the Environment and Energy Security) and UNEP are co-promoters of the EPIC Deploy initiative. Where data is shared with these organisations in connection with the management of the call for proposals or the programme, this is noted below.

We process personal data only to the extent necessary to provide our services and to operate this website in a reliable and user-friendly manner. Personal data no longer required for its original purpose is anonymised or deleted.
This website collects personal data through the following specific activities:
Call for proposals — registration
When you register your interest in the EPIC Deploy Open Call for Proposals, we collect your name, email address, organisation, country, and stakeholder type. This data is used to share with you the application guidelines and materials, and to communicate with you about your application and relevant EPIC Deploy updates.
Legal basis: your consent, provided when you agree to receive communications from the EPIC team (question 6 of the registration form). You may withdraw your consent and unsubscribe at any time by contacting info@energy-base.org.
Retention: for the duration of the EPIC Deploy project plus seven years, or longer where required by an applicable grant or funding agreement. Your data will be deleted promptly if you withdraw your consent.
Registration data may be shared with MASE and UNEP as co-promoters of the initiative, where necessary for the management of the call for proposals.
Webinar registration
When you register for an EPIC Deploy webinar or online event, we collect your name, email address, and organisation (where provided). This data is used only to send you joining instructions, a confirmation email, and the webinar recording and presentations after the event.
Legal basis: your consent, provided when you complete the registration form.
Retention: for the duration of the EPIC Deploy project plus seven years, or longer where required by an applicable grant or funding agreement.
Processing of personal data by third parties, also abroad
We use the following third-party services to operate this website and manage registrations:
Microsoft Forms (Microsoft 365): used to collect registration data. Microsoft acts as a data processor on behalf of BASE under a formal Data Processing Agreement. Data may be transferred to the United States under the EU–US Data Privacy Framework and Standard Contractual Clauses.
Google Workspace: used to store and manage registration data, correspondence, and webinar recordings. Google acts as a data processor on behalf of BASE under a Data Processing Agreement, in compliance with GDPR and FADP requirements. Data may be transferred to the United States under the EU–US Data Privacy Framework and Standard Contractual Clauses.
Data is not shared with any other third parties for commercial or marketing purposes.
Rights of data subjects
You have the following rights in relation to your personal data:
• The right to access the personal data we hold about you.
• The right to request correction of inaccurate data.
• The right to request deletion of your data (‘right to be forgotten’).
• The right to withdraw consent at any time, with effect for the future, where processing is based on consent.
• The right to object to processing based on legitimate interest.
• The right to lodge a complaint with a supervisory authority — in Switzerland, the Federal Data Protection and Information Commissioner (FDPIC) at www.fdpic.ch, or your national data protection authority if you are located in the EU.
